Rental Application Notes

Please complete the rental application in full. We cannot accept any applications that do not supply complete information. We understand you might have some concerns over why we want the personal detail asked for, and what we do with it, and hope the explanation below will answer your questions.

General Information

The majority of our cottages are privately owned and often used by the owners at different times during the year. We have a duty of care to owners to ensure we screen potential rental applicants for suitability for a cottage. This works both ways and is a bit like a dating service - we want the match to be just right so there are no surprises and everyone is happy. Our owners tell us the maximum number of people (including children) the cottage will accommodate; whether it is suitable for young children and older persons; whether pets are allowed; and any other limitations they want to impose. We then pass that onto potential rental guests. In most cases this is not negotiable so please do not expect a cottage to accept more people than stated, or to allow additional people sleeping on floors or in tents.

Accidental Damage Protection Plan

The ADPP covers damage that could not reasonably have been foreseen, and is reported to CottageLINK Rental Management by phone before the vacation is completed. In addition, all damage must be reported in writing within 5 days of the end of the vacation rental period. The ADPP does not cover:

  • Any damage caused by pets
  • Failure to leave a cottage in a clean and tidy condition as described in the cottage instructions.
  • Misuse of hot tubs or damage to hot tub covers
If you choose not to purchase the ADPP your credit card number will be charged in the event of damage being reported by the owner following your stay. The ADDP must be purchased at time of booking. The cost of the ADPP is $45 + HST and covers up to $2500 in accidental damage.

Party Members - Maximum Occupancy

You must list all members of your party, whether they will be staying for the duration of the rental or only a part of it. The rental agreement will limit the occupancy to the number stated on the application form, so make sure you include everyone - including children. If you are planning on having day or overnight guest (see next section), and you have reached the maximum number of people permitted, you should consider renting a larger cottage.

Maximum occupancy is usually restricted by the rental policy the owner has on the cottage, so please bear this in mind if you choose to disregard these restrictions. Should any catastrophic event occur while you are at the cottage and there are more people occupying the property than the insurance permits, the policy may invalidated in which case you may be held liable for any costs incurred.

Day and Overnight Guests

We appreciate you might want to have friends or family pay you a visit while you are at your cottage and it is a courtesy to let the owner know who will be in the cottage at any time during the rental. Please remember that you may not exceed the maximum number of people stated on your rental agreement at any time unless agreed with us. If you are not sure who will visit and when, a quick phone call to the office will usually suffice.

Cottage communities are very close and it is not unusual for us to get a call from a cottage owner's neighbour telling us there seem to be a lot of people at the rented cottage. Overcrowding and exceeding maximum permitted numbers will result in a charge on the damage deposit, and even eviction.

 

Pets

Cottages that accept pets are marked with a dog icon on the calendars. This usually means the owners will accept one well behaved dog. Many are happy to have dogs but not cats, so please check with us before assuming your cat will be welcomed at the cottage of your choice. Similarly, if you want to bring more than one pet, please check too. There will be additional conditions for accompanying pets, so you should read the relevant clause in the rental agreement carefully.

If a cottage does not accept pets, this doesn't mean there have never been any pets in the cottage, so if you have allergy issues, please let us know before submitting your application.

What Happens Next ?

Once confirmed (usually within a few hours on business days) we will email a secure electronic rental agreement that can be digitally signed and returned to us online and we ask you to do that within 24 hours. We require a credit card for deposit payments.

We will hold the property for 24 hours after we send the rental agreement at which time the hold is automatically removed. A booking is not confirmed until the signed agreement and deposit payment has been returned to us online.

Final payments must be made by cheque and be received 45 days before the rental commences. If this cheque is not received by the date shown on the rental agreement, the final balance will be charged to your credit card, along with a late payment fee of 3% of that amount.
